Compare membership management software
With membership administration software you keep your members' details in one place: who is a member, since when, in which team or department and what they pay in membership fees. You collect the fees by direct debit or a payment request, and members update their own details in an app or on a member portal. That way the treasurer no longer gets tangled up in Excel lists and separate bank transfers, and a new board takes over the administration without any hassle. It is suitable for sports clubs, music societies, student associations, professional associations and foundations.
For sports clubs or for any association?
Sportlink Club, AllUnited and LISA are made for sports clubs and exchange member data with the sports federation. Conscribo, e-Captain and Congressus suit associations of every kind. Conscribo and e-Captain include accounting as standard; with other packages it is a module or an integration with your accounting software. ClubCollect is mainly about collecting membership fees, with membership administration as an extra module.
For associations in Belgium there are Twizzit, Ledenbeheer and AxoClub, with features such as direct debit and certificates for tax returns and the health insurance fund.
What should you look out for?
- Pricing model: most packages charge a fixed amount plus an amount per member, per month or per year. Work it out for the number of members in your association and pay attention to start-up costs and the contract term.
- Collecting membership fees: check whether you can collect direct debits or send payment requests from within the package, and whether it sends reminders to members who have not yet paid.
- Accounting: if you also want to do the association's accounting, choose a package that includes it or that integrates with your accounting software.
- Privacy: you store members' personal data, sometimes children's too. Ask where the data is stored and who on the board may see which data.
