Choosing EHR software: what to look out for?

You use an electronic health record every working day, for every client. A wrong choice therefore costs a lot of time. These points help you compare packages fairly.

On SoftwareWatcher you compare 5 EHR software packages.

  • Does it fit your type of care: an EHR for physiotherapy works differently from a system for mental health care (GGZ), youth care or district nursing. Choose a package that understands the record structure, measurement instruments and reporting of your field.
  • Information security: healthcare providers must protect patient data in accordance with the NEN 7510 standards. Ask the supplier about certification, a data processing agreement and where the data is stored.
  • Claiming: check whether you can claim directly from the EHR from health insurers or municipalities, for example via VECOZO, and how rejected claims are reported back.
  • Calendar and client contact: an integrated calendar, online appointment booking and a client portal save phone calls and duplicate data entry.
  • Data exchange: more and more care processes require electronic exchange with other healthcare providers. Ask which standards the package supports for your sector.
  • Switching: ask how your existing records are transferred and what happens to your data if you want to leave later.

Frequently asked questions about EHR software

What is the difference between an EHR and an ECD?

An EHR, electronic health record, is mainly used in medical and paramedical care. An ECD, electronic client record, is common in long-term care, disability care and youth care. The features largely overlap; the set-up reflects the way of working in the sector.

How long must a medical record be kept?

Under the WGBO (the Dutch Medical Treatment Contracts Act), medical records must as a rule be kept for twenty years. An EHR must therefore keep older records available for a long time and securely.

Can I try an EHR first?

Many suppliers offer a demo or trial period. Test with a few real work processes, such as an intake, a report and a claim, rather than just following the standard tour.

What is EHR software?

EHR software stands for Electronic Health Record software. It is a digital system used to store and manage patient data. This software supports healthcare providers in keeping a clear record of patients' medical data, such as diagnoses, treatments, medical history and medication. Address details and correspondence are also stored securely in an EHR system. All authorised healthcare providers can view (medical) data and exchange it with each other. Below are the benefits of EHR software in brief:

Benefits of EHR software

  • addAll patient data in one secure place
  • addBetter communication between healthcare providers and patients
  • addA lower risk of human error
  • addEHR software supports regulatory compliance
  • addPatient data is always available, anywhere, to authorised staff

Which EHRs are there?

There are various EHR systems available, each with unique features and complexity. These systems differ in that they focus on specific care sectors. The choice of the best EHR software depends on the care sector you work in, the size of your organisation and specific care requirements. An EHR system developed especially for small care providers is less suitable for a large hospital. A hospital may need features that are superfluous for a small GP practice. With our selection guide you can easily find an electronic health record that suits your organisation by answering a few questions. This saves a lot of time in finding out which EHR software is right for your organisation.

How expensive is EHR software?

The cost of EHR software varies depending on factors such as the type of care provider, the number of users and the complexity of the features. For small care providers, many EHR suppliers offer an affordable entry-level model, which makes it attractive for new organisations. As your organisation grows, the costs will rise. This also makes it possible for new practices to purchase an EHR system. For large care providers the costs of an EHR are a lot higher and customisation may also be needed.
