Compare intranet software
With intranet software you give employees a single internal place for news, documents and contact with colleagues. You share a message with the whole organisation or only with one team or location. Employees search a knowledge base, find colleagues in a staff directory and respond to each other's posts. An intranet platform is used by companies, municipalities, healthcare organisations and schools, from a few dozen to thousands of employees. Creating an intranet does not have to start from scratch: most packages are set up with ready-made components in your own house style.
Social intranet or employee app?
The first choice is who it is mainly intended for. With a social intranet such as Happeo, Workvivo, Iris Intranet or Embrace Social, it is all about news, groups and a timeline that everyone can respond to. If you already work with Microsoft 365, you can build an intranet yourself in SharePoint, or take a package that builds on it, such as Involv, Synigo Pulse or Powell Intranet. If capturing knowledge is the main goal, a wiki such as Confluence may be enough.
An employee app, also called a staff app, is made for people without a fixed workplace: in shops, hospitality, care or logistics. Examples are Speakap, Blink and Connecteam. Such an internal communication app works on the phone and often also has chat, onboarding and training.
What should you look out for?
- Reach: check whether everyone can log in, including employees without a computer or business email address, and what the mobile app can and cannot do.
- Integrations: see whether the intranet solution connects to what you already use, such as Microsoft 365 or Google Workspace, and whether employees are taken over from your HR system.
- Pricing model: many suppliers charge per user per month, sometimes with a minimum number of users. Others only give a quotation. Also ask about one-off costs for set-up and integrations.
- Management and security: agree who keeps the content up to date, otherwise it quickly becomes outdated. Also look at where the data is stored and which certificates the supplier has.
