Compare office software
With office software, also known as productivity software, you write documents, calculate in spreadsheets and make presentations. An office suite therefore usually consists of a word processor, a spreadsheet program and a presentation program. The online suites often also include email, a calendar and storage. Almost every organisation needs an office suite like this, from freelancers to large companies. Some suites you install on your computer. Others work in the browser, so you can be in the same document at the same time as your colleagues.
Subscription, one-off purchase or free office suite?
The first choice is how you pay. Microsoft 365, Google Workspace and Zoho Workplace are subscriptions per user, with email and storage included. Microsoft Office 2024, SoftMaker Office and WordPerfect Office you buy once and install on your computer. If you are looking for free office software, there are LibreOffice, Apache OpenOffice and FreeOffice. You may use these for business too.
The second choice is where your documents are stored. If you are looking for an office alternative where you keep the data in your own hands, you can put ONLYOFFICE Workspace, Collabora Online or CryptPad on your own server. kSuite and The Good Cloud are online workspaces from Switzerland and the Netherlands.
What should you look out for?
- Exchanging files: check that the office program opens and saves Word, Excel and PowerPoint files properly. Test it with a few of your own documents with a lot of formatting.
- Collaboration: if you want several people to work on a text at the same time, choose a suite with online editing. A word processor that only exists on your computer often cannot do that.
- Licence: check whether the price applies per user, per computer or per server, and whether you may also use a free version for business.
- Storage and privacy: with an online suite your documents are held by the supplier. Check which country the data is in and whether you get a data processing agreement.
