What does a CRM system cost? Checked prices of 7 packages, what drives the price, hidden costs and worked examples for 5 and 50 employees.

A CRM usually costs an amount per user per month, but the differences between packages and plans are large. We list the prices of seven CRM packages, work them out for a small and a larger team and show which costs are easy to overlook.

What does a CRM system cost, in short?

On 1 October 2026 we went through the pricing pages of seven CRM suppliers from our comparison. Together they show 20 plans. For the thirteen plans with a fixed price per user, that price ranges from €19 to €160 per user per month. The middle plan costs €65. Three suppliers charge differently: a fixed monthly amount that includes a number of users, or a base licence plus an amount per user.

For a team of five users you therefore pay about €120 to €325 per month with these packages. With fifteen users you end up at roughly €335 to €1.425 per month. One-off costs for set-up and moving your customer data come on top. All amounts exclude VAT unless we say otherwise.

We only include prices that the supplier publishes itself. Annual billing is often cheaper than paying monthly or quarterly, so the billing term is shown.

SuperOffice and Hello Office do not say on their pricing pages whether the amounts include or exclude VAT. Prices excluding VAT are usual for business software, but check before you budget. Simplicate and Gripp are broader packages with projects, hours and invoicing, which explains part of the price difference with a CRM that only manages contacts and sales.

Other packages in our comparison, such as AFAS and Teamleader, base the price on a quote or on the modules you choose. On Teamleader's pricing page the amounts only appear after choosing options, so the package is not in the table.

What the price of a CRM depends on

  • Number of users: with most packages you pay per user. Only count the colleagues who really work in the CRM. Some suppliers have cheaper accounts for people who only use the app or view data.
  • Feature level: the gap between a supplier's cheapest and most expensive plan is often bigger than the gap between suppliers. Automation, multiple sales pipelines, reports and API access are usually in the more expensive plans.
  • Billing term: with Tribe CRM and Cirqll, annual billing saves 8 to 21 per cent compared with paying quarterly. You are then tied in for a year.
  • Minimum number of users: Tribe CRM charges for at least two users, and at least five for Ultimate. A small team then pays for seats it does not use.
  • Modules and add-ons: a customer portal, an extra sandbox environment, a Chamber of Commerce (KvK) integration or advanced statistics cost extra with several suppliers. Tribe CRM, for example, charges €125 per month for a customer portal in your own branding.

Costs you easily forget

  • Set-up and training: a CRM has to fit your sales process. Expect a few days of internal work on fields, stages and permissions. If you hire help from the supplier or a partner, you usually pay per hour or per package.
  • Moving data: contacts from Excel or another CRM are often duplicated or incomplete. Cleaning them up takes time. Cirqll offers help with importing, priced by arrangement.
  • Integrations: an integration with your accounting, email or webshop may be included in the plan, but it can also run through an external service that bills separately.
  • Price increase after the first year: an introductory price, as with SpinOffice CRM, rises to the normal rate after twelve months. Put the normal rate in your budget.
  • Internal time: the team has to keep the CRM up to date. Without agreements on who enters what, you pay for a system nobody trusts.

Worked example: a company with 5 and with 50 employees

We work with two fictional companies. The small company has five employees who all use the CRM. The larger company has fifty employees, fifteen of whom use the CRM in sales and customer service. We take the annual-billing prices from the table, without introductory discounts, add-ons or one-off costs.

Over a year, the small company in this example therefore pays €1.410 to €3.900 in licences. The larger company pays €4.020 to €17.100. In the example the larger team chooses a heavier plan with Tribe CRM and SuperOffice, because automation and reports are needed more often with more users. Price on request? How to compare quotes

For larger CRM projects you often get a quote instead of a price list. Ask every supplier for the same items, so you can compare the amounts side by side:

  • the number of full users and the number of light or app users;
  • which features are in the plan and which are add-ons;
  • the price after the first contract year and the annual indexation;
  • the cost of set-up, training and importing your data;
  • which integrations are included and which cost extra;
  • the notice period and how you export your data if you leave.

Is a CRM cheaper with annual billing?

Usually, yes. Tribe CRM and Cirqll are 8 to 21 per cent cheaper with annual billing than with quarterly payment. You do commit to the package for a year.

What one-off costs does a CRM have?

Expect costs for set-up, training and moving customer data. With a simple cloud CRM they are limited, but they rise if you need integrations or custom work. Ask for them separately in the quote.
