What does time tracking software cost? Checked prices per employee and fixed fees of 7 packages, with worked examples for 5 and 50 employees.

Time tracking costs a few euros per employee per month, sometimes with a fixed fee on top. We list the prices of seven packages, show what projects and invoicing cost extra and work out a team of 5 and of 50 employees.

What does time tracking software cost, in short?

On 1 October 2026 we went through the pricing pages of seven time tracking packages from our comparison. Almost all of them charge per employee or user: €3 to €14 per person per month. Five of the seven also charge a fixed monthly amount on one or more plans, usually €25 to €75. With Shiftbase that fixed amount already includes a number of employees.

For five employees you spend €15 to €90 per month with these packages, for fifty employees €150 to €500. The difference lies mainly in what you do with the hours: just recording working hours is cheap; linking hours to projects, budgets and invoices costs more. All amounts exclude VAT unless we say otherwise.

Timebutler, Urenwijs, Timetell and Shiftbase do not say whether their prices include or exclude VAT. Prices excluding VAT are usual for business software, but check before you budget. Shiftbase is mainly rostering software with time tracking; TimeChimp and ClockWise focus on hours per project and invoicing.

What the price of time tracking depends on

  • Number of employees: virtually every package charges per person. In a team with many part-timers or on-call staff, they count too.
  • Fixed fee or not: a fixed monthly fee makes a package relatively expensive for a small team, but hardly matters for a large one. At Timetell, €75 is most of the bill for five people and a third of it for fifty.
  • Projects and invoicing: recording hours per client or project, monitoring budgets and invoicing hours directly are in the more expensive plans.
  • Rostering and time clock: a package that also does rostering, such as Shiftbase or Werktijden.nl, costs more than time tracking alone, but can replace a separate scheduling package.
  • Billing term: with Werktijden.nl and Shiftbase an annual subscription is 10 to 20 per cent cheaper.

Costs you easily forget

  • Integrations: hours often have to go to payroll or the accounting package. Check whether that integration is standard.
  • Hardware: a time clock or tablet at the entrance costs extra once. Some packages work with a tablet you already have.
  • Set-up: someone has to configure projects, hourly rates, allowances and approval rules.
  • The time you spend now: weigh the costs against the hours you currently spend collecting and checking timesheets. For that, read time tracking in Excel or an app.

Worked example: a company with 5 and with 50 employees

We work with two fictional companies in which everyone records their hours. We take the cheapest plan of each package and the prices from the table, with monthly billing for Werktijden.nl.

In this example the small company pays €180 to €1.080 a year, the larger company €1.800 to €6.000. The order shifts with team size: Timetell is the most expensive for five people and mid-table for fifty. If you want to invoice hours per project, most packages need a more expensive plan, such as TimeChimp Advanced (€25 + €12 per employee).

For large teams or custom work you ask for a quote. Ask every supplier for the same items:

  • who counts: all employees, active users or only those who record hours;
  • the fixed monthly amount and the price per person;
  • whether projects, budgets, invoicing and expense claims are included;
  • which integrations with payroll and accounting software are standard;
  • the cost of hardware such as a time clock, and of set-up;
  • the notice period and how you export your time history.
