Software for hospitality

In hospitality, everything revolves around the service itself: guests at the table, orders that are right and enough people on the floor. Software takes over the work around it: the till, reservations, the rota, hours and purchasing. Here you can see, per area, which packages their suppliers say are suitable for hospitality.

Most hospitality businesses have a POS system at the centre, with reservations, staff scheduling and time tracking around it. Revenue from the till and hours from the rota go to the accounts and payroll. Start with the part that costs the most time or causes the most mistakes now.

POS system

A hospitality till does more than take payment: splitting tables and bills, sending orders to the kitchen and bar, handling tips and showing revenue per day. Check whether the till works with handheld terminals for the floor staff and with your card terminal.

Reservations and bookings

Online booking via your website or Google avoids phone calls during busy times and gives you an overview of occupancy. Some systems ask for a deposit or send a reminder, which reduces no-shows. Hotels and leisure businesses use similar systems for rooms and activities.

Rota and staff scheduling

With lots of part-timers, on-call staff and changing busy periods, the rota in hospitality is a puzzle every week. Rota software takes availability, contract hours and collective agreement rules into account, and staff swap shifts in an app. Some packages forecast how many people you need based on expected revenue.

Hours and time clock

In hospitality, hours worked often differ from the rota. A time clock on a tablet or phone records the actual hours, so you pay supplements and overtime correctly and the hours go to payroll without retyping.

Payroll

Changing hours, evening and weekend supplements, on-call contracts and many people joining and leaving make payroll in hospitality laborious. Choose a package that takes over the hours from your rota or time clock, and ask whether it can calculate the supplements from your collective agreement.

Stock and purchasing

After staff, purchasing is often the largest cost item. Stock management shows what has run out, what you need to order and what gets thrown away. Some POS systems have this built in; a separate package helps mainly with several locations or a large kitchen.

Accounting

Daily revenue from the till, purchase invoices and payroll costs come together in the accounts. An integration with your POS system saves retyping daily reports, and with a bank feed you process card payments faster.

How the packages work together

In most venues, the till is the centre. For each package, ask whether it connects to your till: reservations that appear as a table in the till, revenue that goes to the rota to plan staffing, and daily revenue that ends up in the accounts automatically. Rota and time clock belong together; many packages do both.

What to look for

  • Does it work when it's busy: a till or reservation system has to be fast and keep working if the internet drops out for a moment.
  • Several locations: can you report per location and for all of them together?
  • Costs per transaction: on top of the subscription, POS and payment systems often charge an amount per card payment.
  • Contract: hardware is sometimes rented or leased. Look at the term and what happens if you want to switch.

Frequently asked questions about software for hospitality

What software does a restaurant need?

At least a POS system and an accounting program. With staff come staff scheduling, time tracking and payroll, and for many restaurants an online reservation system. Choose the till first, and the rest so that it connects to it.

What does a POS system for hospitality cost?

That depends on the number of tills, handheld terminals and locations, and whether you buy or rent the hardware. Besides the monthly fee, look at the costs per card payment and the length of the contract. Read what a POS system costs.

Can one package do rota, hours and payroll?

Some packages combine staff scheduling and a time clock, and the odd package payroll as well. That avoids retyping. If you work with a payroll bureau, check whether the package delivers the hours in a form the bureau can import.

How we choose the packages

For each area, this page shows the packages from our comparison whose supplier says they are suitable for this industry. In a category that is made for the industry itself, all packages are shown.

At the top are the packages made mainly for this industry: their supplier picks a few industries, not almost all of them. They are followed by the packages with the most reviews on SoftwareWatcher. Nobody pays for a place on this page.
